Position: The Admissions Coordinator, 3rd- 5th Grade Lead is responsible for walking prospective students and families through the admissions process with efficiency, care, and compassion!  The Admissions Coordinator will play a crucial role in fulfilling the overall aspects of the admissions side of application, assessment, interview, and acceptance while upholding Hope Academy's vision to grow and serve more youth in our city with a remarkable, Christ-centered education.

The following reflects essential functions for this position but does not restrict the tasks that may be assigned.

Responsibility areas

Accountable for applications, conferences, assessments, family interviews, tuition conferences, record requests, and preparing summaries for 3rd through 5th grade applicants. As 3rd – 5th grade lead, all administrative (PowerSchool) work from beginning to end to be performed inclusive of forms and reports in PowerSchool for Lower School Decisions Team to be executed.

Application & Assessment

  • Manage new applications submitted through PowerSchool within one school day and maintain PowerSchool records for each prospective student.
  • Implement weekly rhythms to communicate with, track, and assist families during the admission process.
  • Oversees 3rd – 5th grade admission documents (Teacher Questionnaires (TQ’s), Immunization records & academic records). Documents are received and secured from schools and potential families in a timely manner.
  • Ensure assessment materials are prepared and ready for use.
  • Coordinate scheduling of 3rd-5th grade assessments, host students and families during their assessment visit.
  • Help schedule and coordinate assessment days with Assessors from Spring through Summer (typically a couple Saturdays per month February-April and once a month from June through August).
  • Schedule and score assessments (void if Assessor is in place) for 3rd-5th grade applicants, host students and families during their assessment visit.
  • Maintain an accurate waiting/placement list for all 3rd-5th grade students.

Interview & Acceptance

  • Systematize with Heads of FM & Admissions/Recruitment to conduct weekly parent interviews which will align with 3rd – 5th assessment slots.
  • Assist with correspondence and mailing to potential applicants.
  • Prompt transmittal of student overviews to allow the Decisions Team adequate time to examine.
  • Communicate admission decision to perspective families/students in a timely manner.
  • Maintain PowerSchool records for each prospective student.
  • Communicate with, track, and assist families during the enrollment process.

Data Analysis Responsibilities

  • Lead set up and manage communication of annual Re-Enrollment of existing families.
  • Monitor and communicate enrollment and/or dismissal of students to pertinent staff.
  • Analyze and develop data for reports needed for Leadership Team and Board meetings.
  • Responsible for research & analyzing data to provide accurate data reports
  • Establishes and maintain internal data management and control for efficiency
  • Coordinate and manages all retention services data collection, input, and analysis for all student data within PowerSchool management system.
  • Work closely with the Admissions 6th – 11th Coordinator and the Admissions Coordinator Lead to support the Admissions team in various tasks as needed.
  • Team collaboration on identifying opportunities for enrollment improvements and process efficiencies.

Basic Qualifications and Experience

  • High school diploma or GED.
  • At least 1-2 years of demonstrated relevant administrative experience, paid or volunteer.
  • Growing follower of Jesus Christ who desires to embrace the Hope Academy Faith & Life Covenant.

Preferred Qualifications and Experience

  • Admission experience in educational or vocational settings.
  • Previous relevant experience working with non-profits and/or faith-based organizations.
  • Highly proficient dual-language interpreter and translator for Spanish and English (reading, written & verbal).

  • Ability to quickly learn new technology database management tools. We currently use PowerSchool’s Enrollment and School Information System.
