Finance Admin – Accounts Payable, Purchasing, Budget Coordinator

Status: Full Time, Non-Exempt

Position Type:  Total hours per year – 1648.
Aug-May   40 hours per week
June 24 hours per week
July  16 hours per week
2 weeks off at Christmas,
1 week off in April, one week off in June

The Finance Admin position manages the accounts payable process including vendor payments, credit card transactions and MPS district reimbursements. The position also manages the purchasing process and distributes monthly budget reports.

Duties and Responsibilities

The following reflects essential functions for this position but does not restrict the tasks that may be assigned.

      • Manage Invoices: Input all invoices, obtain proper signatures, assure payments fit in the budget, disburse signed checks and file paperwork appropriately.
      • Check Register: Oversee the check register, assure all checks are accounted for and manage any uncashed checks over 3 months old. Order new checks when needed.
      • Vendors: Establish good working relationships with vendors and manage the vendor files. Create vendors in Quickbooks and maintain them.
      • Credit Cards: Download and enter credit card transactions weekly. Distribute reports for explanations and approvals.  Reconcile monthly credit card bill.  Review charges with the Finance Director and sends monthly payments on time.
      • Budget Support: Provide monthly budget reports
      • Purchasing: Provide sales tax exemption certificate to vendors, place orders and research cost saving alternatives

Qualifications and Education Requirements

The ideal candidate will have a passion for the mission and work of Hope Academy and a desire to play an integral part in growing the impact of Hope Academy.

      • High School Diploma or GED equivalent
      • Two years post high school education with one year of related experience or no post-high school education with 2 years of related experience
      • Proficient with Quickbooks
      • Proficient with Microsoft including Outlook, Excel and Office 365
      • Ability to prioritize work and meet all deadlines and maintain confidential information
      • Strong communication and organizational skills and the ability to work independently and as a team member.
        • Professional appearance and demeanor
